We are now looking for an organised and service-minded Executive Assistant & Office Support to join our Office Management team in Stockholm. This is a hands-on and varied role where you will support senior stakeholders, including Partners and parts of the Management Team, while also contributing to the smooth day-to-day running of the office.
The role requires strong structure, sound judgement, and a high level of discretion. You will work in a professional, fast-paced environment, close to decision-makers, while also being part of a collaborative support team that helps each other and shares responsibility when needed.
Position description
As Executive Assistant & Office Support, you will play a key role in creating structure, flow, and quality in both executive and office-related work. The role combines classic executive assistant responsibilities with broader office and team support, making it ideal for someone who enjoys variety, collaboration, and a proactive way of working.
One part of your role will be to support the Partner Group with calendar management and day-to-day coordination. This means building a trusted working relationship with the Partners, handling meeting requests, coordinating with external counterparts, and make sure schedules run smoothly even when things move fast.
The other part of the role is to be an active and engaged part of the wider Office Management team, working together to make sure Areim's office space and daily flows are always kept at a high level. Whether that means making sure meeting rooms are set up and ready, that visitors are welcomed professionally, or that the office has the right energy and feel day-to-day. You will take shared ownership of the office environment and step in where needed, without being asked.
You will report to the Head of Office Management, work closely with the wider Office Management team and collaborate with colleagues across the organisation to support meetings, events, and daily operations, always with the aim of enabling others to focus on their core responsibilities and deliver results. The role is based in Stockholm, at our head office on the top floor of Regeringsgatan 30.
Key Responsibilities
Executive Support
· Manage calendars, meetings, and travel arrangements for the Partner Group and parts of the Management Team, including last-minute changes and ad hoc requests
· Coordinate and plan internal and external meetings and events, recurring executive activities - in close collaboration with Office Management and relevant teams
· Act as a key point of contact for internal and external stakeholders, handling communication with professionalism and discretion
· Handle expense reporting and credit card reconciliation for Partners and parts of the Management Team
· Manage and coordinate signatures through Scrive, ensuring agreements are signed by the right parties and followed up in time
· Support the preparation and printing of meeting and board materials
· Handle sensitive and confidential information with absolute discretion
· Contribute to continuous improvement and smarter ways of working, including use of digital tools, AI, and automation where relevant
Team & Office Support
· Support the smooth day-to-day running of the office together with the wider Office team
· Coordinate meeting logistics, visitor management, and office-related practicalities
· Contribute to maintaining a professional, welcoming, and well-functioning office environment
· Step in and support the Office Manager during busy periods, lunches, or absences, including helping with reception - making sure every visitor is welcomed in a way that reflects Areim's warm and genuine style
· Assist with onboarding-related practicalities and contribute to a welcoming experience for new colleagues
Your Profile
Proven experience as an Executive Assistant, or a similar senior administrative or support role from an environment where fast pace, service excellence and attention to detail are highly valued
Strong organisational and time-management skills, with a proven ability to handle multiple priorities at once without loss of quality or reliability
Natural relationship-builder who genuinely enjoys people, puts care into interactions and builds trust with new visitors, long-standing stakeholders, and colleagues
High attention to detail and a proactive, solution-oriented mindset
You are service-minded at heart, with a natural drive to improve things, always looking for the small tweaks that make a real difference over time.
High level of professionalism, discretion, and reliability
Very good skills in Microsoft Office, especially Outlook
Excellent communication abilities in both English and Swedish, encompassing both written and verbal skills
Prior exposure to financial/professional services, private equity or similar high-pace, high-performance industry will be helpful but not essential
It’s a plus if you are comfortable with digital tools, enjoy figuring out new platforms, and are curious about how AI can make coordination smarter
